ONE LADDER,EVIDENCE INTO SIGN-OFF OUT.
A single, visible path for every client. Nobody skips the review step, and nothing reaches "filed" without a practitioner's name against it.
Five stages, always in the same order
Invite client
Your practice sends an invitation branded to your firm.
Receive evidence
Statements, slips and forms arrive by upload or WhatsApp.
Process and classify
The engine reads and matches each document to the rule set.
Review gaps
Missing information and opportunities are queued for your team.
Sign off
A practitioner reviews and approves before anything moves further.
What lands in "needs review"
The workflow is built around one idea: an accountant's time should go to decisions, not searching.
Outstanding evidence
A required document has not arrived yet: an IRP5, a certificate, or a missing month of statements.
Unclear items
A vendor name, an amount, or a category the engine could not confidently assign on its own.
Ready to sign off
Everything expected has arrived and been matched. The file is ready for the practitioner's final review.
ⓘFiling requires a registered SARS tax practitioner and a recognised controlling body, and SARS has no public e-filing API. Tax workflow ends at a practitioner's sign-off; submission is completed by the practitioner through the appropriate channel.
One score, and it shows its working
Every file carries an evidence score. It is not a prediction and it is not a refund estimate: it is a measure of how much of the return is actually supported by documents that have been read. Three components, fixed weights, and each one is a count rather than an opinion.
The dial reading above is an example, because a real score belongs to a real return. The weights and the bands beside it are the ones the engine actually uses.
Documents uploaded
One of the four readiness checks. Nothing scores at all until there is a document or a slip to score.
Consent to analyse
Given by the taxpayer before anything is read.
Declaration signed
The taxpayer standing behind their own figures.
Bank lines classified
The check passes only when nothing is left needing review.
| Band | Score | What it means for the file |
|---|---|---|
| Excellent | 80 and above | The evidence supports what is on the return. |
| Good | 60 to 79 | Sound, with something still worth chasing. |
| Fair | 40 to 59 | Enough gaps that a practitioner should look before anyone signs. |
| Needs attention | Below 40 | Not enough read yet to stand behind the figures. |
A return with no documents is not scored badly, it is not scored at all. The dial reads “Not scored” and asks for one document, because a zero would be a judgement the engine has not earned the right to make.
